Let's talk emails! Whether they're coming in or going out, emails are an important part of the ServiceNow platform. For incoming emails, most top-tier service providers have robust anti-spam features built-in, to protect their users from bad actors.
What if you and your ServiceNow instances become that bad actor, invertedly spamming your users with emails and notifications?
But hold on, you might be thinking, "Hey, those aren't spam—they're important notifications!" Well, even with the best intentions, there are two types of spam we need to watch out for: inadvertent spam and perceived spam. Let's break down what these mean and introduce some amazing (and free) tools to help you tackle them.
Oops, It's Inadvertent Spam!
Inadvertent spam happens when emails are sent out unintentionally, usually during testing in sub-production instances. Imagine testing a use case that involves sending emails to a large group of users. If production users are also present in sub-production instances, you can accidentally spam a lot of people. Yikes!

Enter the hero: PowerShield Whitelist application by Altorra. This FREE, easy-to-use tool prevents accidental email blasts to unintended users. It allows you to whitelist users and email addresses, ensuring that only the right people get your emails. You can find this tool in the ServiceNow Store. Install it, pick the users you want to whitelist, and relax knowing no one else will get those pesky unintended emails.

Uh-Oh, It’s Perceived Spam!
Perceived spam is a whole different beast. These are emails that users filter out, delete, or simply ignore because they find them irrelevant or unhelpful. Basically, emails that get treated like spam, even when they are not.

To fix this, we need to understand which emails are getting this treatment and why. This data is valuable to understand the behavior of the clients and their sentiment about what they are receiving.
Fortunately, there's another awesome, FREE tool for this as well: WTeH (Was This Email Helpful). Created by Tim Woodruff (of SN Guys and SN Pro Tips fame) and Robert Fedoruk (CXO of Vivid Charts and co-host of the CJ and the Duke podcast), this tool helps you figure out which emails are hitting the mark and which are missing it.
